Essential maintenance tips to keep your devices happy.

A little attention goes a long way to keeping your devices trouble-free. Here are our top tips.

Cleaning

Wipe the exterior regularly with a dry microfiber cloth.

When replacing paper take the oppotunity to clean paper trays and remove dust/debris.

Gently clean rollers (if accessible) with a lint-free cloth.

For MFPs, clean the scanner glass and lid underside to prevent lines on copies.

At each toner change

Turn off or unplug the machine before opening to perform a full power cycle. This reboots the device and often prevents connectivity and monitoring issues from developing.

Check for any loose toner residue and remove carefully with a dry lint-free cloth. If you have a major toner spill, do not attempt to clean it yourself. Contact us and log a ticket.

Ensure cartridges are properly seated - misalignment causes streaks.

Environment

Avoid exposing devices to extremes of temperature. Do not locate near windows or radiators or in cold or damp areas.

Avoid placing machines in dusty areas as this often causes jams and quality issues. If this is unavidable, lightly cover the machine when not in use and clean regularly with a dry microfibre cloth.

Paper

Always use the correct paper type and only store paper in a dry, room-temperature environment - avoid damp, curled, or mixed paper.

Fan paper before loading to prevent multi-sheet feeding.

Use the correct settings for thick paper, labels, or envelopes. A handy guise to changing paper settings can be found here.

Common issues

Check for warning lights and error messages and don’t ignore them - they’re early warnings. You can check common error codes here or log a ticket

A paper jam can cause a 'fuser is extremely hot' message. This simply means you need to avoid touching it and allow the device time to cool down.

Toner low does not mean that the toner need replacing, It is your opportunity to check that you have a replacement toner ready.

Copy quality issues will very rarely be caused by the toner. Always log a ticket and if possible send a print sample.
